Booking conditions
Booking & Payment A booking is confirmed upon receipt of a 30% deposit of the total trip cost. Flight tickets, gorilla and chimpanzees trekking permits, must be paid in full at the time of booking. The remaining balance is due no later than six weeks before arrival. Failure to comply may result in cancellation with applicable fees. Prices are subject to change due to unforeseen circumstances, such as currency fluctuations or regulatory changes.
Wedding arrangements 30 % deposit at the time of booking, balance is due not later then six weeks before arrival.
Cancellation, Changes & Refunds
By the Customer: If a flight is included in the trip, the following cancellation fees apply:
- Up to 56 days before departure: flight cancellation costs + 30% of the remaining trip cost.
- 55 to 22 days before departure: flight cancellation costs + 50% of the remaining trip cost.
- 21 to 7 days before departure: flight cancellation costs + 75% of the remaining trip cost.
- Less than 6 days before departure: 100% of the total trip cost.
If no flight is included, the following cancellation fees apply:
- Up to 56 days before departure: 30% of the trip cost.
- 55 to 22 days before departure: 50% of the trip cost.
- 21 to 7 days before departure: 75% of the trip cost.
- Less than 6 days before departure: 100% of the trip cost.
Gorilla and chimpanzees trekking permits are never refundable for what ever reason cancelled.
Ivory & Pearls: Ivory & Pearls reserves the right to cancel a tour due to force majeure events or insufficient participation. In such cases, customers will be offered an alternative arrangement or a refund, excluding flight tickets and gorilla/chimpanzee permits. If a booked accommodation becomes unavailable due to force majeure, Ivory & Pearls will provide an alternative of similar or higher standard where possible. No refunds will be issued for such changes. If itinerary modifications are necessary due to unforeseen events, Ivory & Pearls will strive to provide comparable alternatives.
Price Adjustments Ivory & Pearls reserves the right to adjust the travel price for existing agreements up to 20 days before departure. Adjustments may occur due to changes in fuel or energy costs, third-party-imposed taxes or fees, and exchange rate fluctuations. The price adjustment method will be disclosed before booking and is part of the agreement.
Traveler Information Before or at the time of booking, the traveler must provide all relevant information for themselves and any other travelers included in the booking. This includes details that may affect the health or safety of any traveler during the trip.
If incorrect or incomplete information is provided, Ivory & Pearls or its service providers may exclude the traveler from participation. In such cases, the traveler will be liable for cancellation fees as per Article 2. Any other resulting costs will also be borne by the traveler.
Travel Documents & Insurance Travelers are responsible for ensuring they possess valid passports, visas, and any required health documents before departure. Ivory & Pearls is not liable for denied entry due to incomplete documentation. It is strongly recommended to obtain travel insurance covering medical emergencies, trip cancellations (including non-refundable flights and permits), lost luggage, and personal liability. Ivory & Pearls is not responsible for costs incurred due to lack of insurance.
Liability & Force Majeure Ivory & Pearls acts as an intermediary between travelers and service providers (e.g., airlines, hotels, local guides) and is not responsible for service failures, injuries, damages, or losses caused by third parties. Ivory & Pearls is not liable for disruptions due to force majeure events (e.g., natural disasters, government actions, pandemics, or strikes). Travelers participate in activities at their own risk and should assess their physical fitness for specific excursions.
Complaints & Disputes Complaints must be reported immediately on-site to the tour leader, local guide, or service provider for prompt resolution. If the issue is not resolved satisfactorily, the customer must submit an official written complaint within 14 days after the trip ends. Legal disputes will be governed by the laws of the country where Ivory & Pearls is registered.
